This policy explains how Cybr Physical Solutions (Pty) Ltd("we", "us"), the developer of LodgeOS, handles personal information collected through our website lodgeos.co.za(the "Website"), in line with South Africa's Protection of Personal Information Act, 2013 (POPIA).

2. What we collect and why
- Information you send us — when you contact us by email or WhatsApp, or ask for a demo, we receive the details you choose to share (such as your name, contact details and what you tell us about your lodge or reserve). We use this only to respond to your enquiry.
- Analytics (only with your consent) — if you accept analytics, Google Analytics 4 collects pseudonymous data about your visit (pages viewed, device and browser, approximate location from your IP address, and a randomly generated identifier) to help us improve the Website. We do not use it to identify you personally.
- Your cookie choice— stored in your browser's local storage so we don't ask again. Essential; no consent needed.
3. Cookies and similar technologies
- Essential — stores your cookie-consent choice. Always active and set without any tracking identifier.
- Analytics — Google Analytics cookies. Off by default.We use Google Consent Mode, which keeps analytics storage "denied" until you click Accept. Choosing "Essentials only" sets no analytics cookies.
You can withdraw consent at any time by clearing this site's data in your browser, which makes the banner appear again so you can choose afresh.
4. Lawful basis (POPIA)
- Enquiries: your request, and our legitimate interest in replying to you.
- Analytics: your consent, which you can withdraw at any time.
5. Who we share information with
We don't sell your personal information. We rely on a small number of trusted service providers (operators) to run the Website and respond to you:
- Google (Google Analytics) — website analytics, only if you consent.
- Vercel — hosting and delivery of this Website.
- Microsoft — our business email and the Microsoft 365 / Power Platform environment that powers LodgeOS, where enquiries you send us may be received and stored.
- Meta Platforms (WhatsApp) — if you choose to contact us via the WhatsApp links on this site, your message is handled by WhatsApp under its own terms.
6. Information processed outside South Africa
Some of these providers process information on servers outside South Africa. Where that happens, the transfer is subject to those providers' safeguards and to the conditions for cross-border transfers under section 72 of POPIA.
The LodgeOS platform runs on Microsoft 365 and the Microsoft Power Platform, hosted in Microsoft Azure data centres. For client deployments, the hosting region is chosen to suit the client, subject to Microsoft Azure's regional availability.
7. How long we keep it
We keep enquiry and contact details only as long as needed, and no longer than 24 months after our last contact with you, after which we delete them. Analytics data is retained according to our Google Analytics settings.
8. Your rights under POPIA
You have the right to access, correct or delete your information, to object to processing, and to withdraw consent at any time. To exercise any of these, email herman@cybr-physical.com.

9. Security
We take reasonable technical and organisational steps to protect the information we hold. No website is completely secure, but we work to keep what we collect safe.
10. Children
The Website is not aimed at children, and we do not knowingly collect children's personal information through it.

We may update this policy from time to time; the "last updated" date above shows the latest version.
